About the Position

We are seeking an outgoing, detail-oriented, people-person to be the face of the business in the role of Community Associate. You will be assisting the owner in helping us grow the community by creating a great member experience while executing sales, marketing, administrative and day-to-day operational tasks with excellence. This is an opportunity to contribute in a very meaningful way to our business, at both of our locations. You will have lots of support as you learn and grow into this critical role at ACE.

In addition to bringing the right blend of technical skills, we are looking for someone who is friendly, flexible, confident, and professional. This position requires effective interactions and excellent communications with a wide range of internal and external clients, and the willingness and ability to take on special assignments as required.


Community Management

  • Create a friendly and welcoming environment for our members.
  • Oversee new member onboarding.
  • Give tours to visitors and prospects.
  • Help to create connections between our members. This might include targeted introductions, helping to run networking events, and managing communications within the spaces and through digital platforms.
  • Help to animate the community by encouraging member participation in events and activities.
  • Foster a sense of inclusivity where fresh ideas are welcomed.
  • Do everything with a spirit of authenticity and supportiveness.

Assisting with Events

  • Assist in curating a monthly calendar of ACE events: e.g. lunch & learns, member-appreciation events, networking events.
  • Preparing Eventbrite posts, taking photos at events, making promo posters and social media posts.
  • Setting up for, and cleaning up after, events in our spaces.

Day-to-Day Operations

  • Open and close the space following the guidelines in our Operations Manual.
  • Warmly greet visitors and members; we are known for our hospitality!
  • Act as the go-to person for member issues and concerns.
  • Keep the reception area and whole space clutter-free and tidy.
  • Ensure shared supplies are fully stocked – copy paper, toner, tea, coffee, milk, etc.
  • Promptly address equipment or service issues and coordinate with external contractors as needed (ie. maintenance, IT, cleaning, etc.)
  • Learn to use our coworking management software to help manage accounts and bookings.
  • Answer calls, respond to email enquiries, accept mail and send delivery notifications.
  • Conduct other administrative tasks and errands as needed.

Marketing Support

  • Help maintain our mail list (Mailchimp).
  • Do social media posts (Instagram / FB / Twitter / LinkedIn) & engage with our followers.
  • Assist in creation and management of marketing materials (newsletters, print posters, etc.)

Experience & Qualifications 

  • The most important requirement for this role is that you love being around people, supporting them and nurturing our community.
  • The second most important requirement is that you are a detailed-oriented person who is comfortable learning new things. This is a very dynamic role. You will wear lots of hats and be doing many different tasks. (Every day is different!) All tasks need to be performed with a high degree of care and exacting standards.
  • Strong communications skills. You are a native English speaker or can write and speak English with full native fluency.
  • Proficiency with MS Word is required. Experience managing content on social media platforms is an asset. We use several different applications at ACE (e.g., Google Suite, Excel, MailChimp, Instagram, LinkedIn, Facebook). It’s a bonus if you have familiarity with these platforms, but what is essential is that you are comfortable using technology and learning new skills. You will have lots of support from us as you get up to speed.
  • Driver’s License is a plus.

Salary range: 40k – 46k depending upon experience
